Executive Assistant to Group SVP Sales & Marketing
SolicitarThe Executive Assistant provides high‑quality, proactive, and reliable support to the Group SVP Sales & Marketing and Global functional members. The role ensures smooth daily operations, efficient governance routines, seamless coordination across global stakeholders, and strong preparation of activities that enable the effective execution of the Adecco GBU Sales & Marketing agenda.
The position requires exceptional organizational skills, discretion, anticipation, and the ability to manage complexity across multiple time zones, priorities, and executive‑level interactions.
What you’ll be doingKey Responsibilities
1. Governance & Global Sales Operations Support:
- Organize and maintain the governance rhythm for Global Sales, including recurring meetings with Country Heads of Sales (HoS), GAVPs, GADs, Global Sales Team members, and peer functional leaders.
- Prepare and coordinate meeting schedules, agendas, and materials to ensure efficient and productive sessions.
- Ensure governance routines run smoothly despite complex calendars, shifting priorities, and a large number of global stakeholders.
- Maintain structured follow‑up on actions and deliverables resulting from governance routines.
2. Executive Support & Coordination:
- Manage and maintain a proactive, well‑planned agenda for the Group SVP Sales & Marketing Leader with appropriate anticipation.
- Coordinate internal and external follow‑up on topics, deliverables, and cross‑functional initiatives to ensure timely progression.
- Act as a liaison between the SVP and global teams, ensuring smooth communication and alignment across stakeholders.
- Support prioritization and preparation for key strategic discussions and leadership engagements.
3. Business Travel & Expenses Management:
- Plan and secure travel arrangements (flights, hotels, transfers, logistics) in advance to optimize time, cost efficiency, and productivity.
- Coordinate executive travel for global meetings, client visits, and internal events.
- Prepare and submit accurate expense reports for the Global Sales and Marketing leaders and ensure compliance with internal policies.
- Provide full visibility on travel calendars and seamless end‑to‑end travel execution.
4. Meetings & Event Coordination:
- Organize functional offsites, annual physical meetings, Sales and Marketing workshops, and leadership gatherings.
- Provide full logistical and administrative support for virtual, hybrid, and in‑person events.
- Ensure high‑quality coordination and delivery of meeting materials, documentation, and follow‑ups.
5. Communication & Materials Support:
- Assist in preparing high‑level internal communication materials for the Group SVP and Sales & Marketing leadership team.
- Support selected strategic communication and marketing initiatives in coordination with the Global Marketing function.
6. Key Results Consistently Delivered:
- Reliable, timely, and consistent executive support despite demanding global calendars.
- Optimized travel planning and cost‑efficient execution.
- Strong coordination and follow‑up on critical topics, ensuring progress and alignment.
- Smooth and professional management of governance routines, meetings, and operational rhythms.
Qualifications & Experience:
- Proven experience as an Executive Assistant supporting senior leadership in a global organization.
- Strong organizational, project coordination, and administrative skills.
- Ability to manage multiple priorities, stakeholders, and time zones with a high degree of professionalism.
- Excellent written and verbal communication skills in English and Spanish.
- High level of discretion, integrity, and confidentiality.
- Proficiency in Microsoft 365 tools (Outlook, Teams, SharePoint, Excel, PowerPoint).
