The Client Services Supervisor plans, directs, supervises, and evaluates the workflow for the Client Services department. Ensure the staff is effectively counseling, and having accounts worked on and reconciled. Coordinates work activities to achieve the volume expected to meet operational requirements. Responsible for day to day application of policies and procedures.
What you’ll be doingESSENTIAL DUTIES & RESPONSIBILITIES:
- Performs daily billing and collections functions for assigned client portfolio.
- Audits delinquent, uncollectible accounts to ensure maximum efforts have been taken to collect funds.
- Supervises the reconciliation of high volume, complex Corporate Accounts and makes recommendations and decisions for escalation.
- Creates (using Macros/VLOOKUP functionality) and distributes daily and monthly aging reports to Collection Managers and staff.
- Supervises the daily operations of the collections unit, ensuring compliance with departmental policies and procedures and client regulations.
- Drive targeted decrease in DSO by working with team members regarding collection of accounts
- Escalate any accounts that have been problematic to management so they can intervene when necessary.
- Assist in contacting clients and/or partners under accounts that are becoming problematic.
- Present during weekly collection calls with senior leadership
- Works with various groups and functions to facilitate continuous process improvement and automation of processes.
- Create an inspiring team environment with open communication culture
- Leads team, develops objectives, coaches and evaluates performance
- Ensures direct reports obtain applicable training and development opportunities to enhance performance, development, and contributions to the overall service center
- Participates in special projects and performs other duties as assigned.
EDUCATION & JOB REQUIREMENTS:
- Minimum of 3 years of related experience, with one year in a lead or supervisory capacity
- Bachelor’s degree or equivalent experience.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Strong leadership and management skills
- Strong understanding of the entire collections process (invoice preparation, partner contact, client contact, payment received and reconciled)
- Attention to detail and excellent interpersonal, verbal, organizational and written communication skills
- Solves problems with a sense of urgency by recognizing opportunities, understanding risks and acting quickly to overcome obstacles and reach a solution.
- Self-directed with a strong work ethic; capable of working independently with limited supervision, as well as part of a team.
- Ability to work in a high-pressure environment with a high degree of accuracy.
- Must be able to work a flexible schedule when needed.
- Proficient with Microsoft Office products, including Word, Excel, PowerPoint and Outlook.
- Macro and VLOOKUP skills required.
- Experience leading a team on adhoc project and manage multiple tasks and meet deadlines.
