About the role

Provides general and confidential administrative support for one or more members of human resource executives/leaders. The Asst Executive HR Project Manager is an important member of the HR Americas team and critical support of the Region’s Head of HR and HR Leadership Team (HRLT) for the implementation of multiple projects within the function. The ideal candidate will be able to operate in a fast-paced environment with tight deadlines and a strong attention to detail.

What you’ll be doing
  • Coordinates and supports the daily operations and activities of the human resources department and leadership team.
  • Provides administrative support for executives, including, but not limited to managing schedules and calendars and arranging travel across global time zones
  • Travel management and scheduling through third party booking tools such as Concur to ensure an optimal travel experience where flights, hotels and car service are often required.
  • Coordinates meetings, training sessions and other activities, including scheduling and securing locations, food and beverage, confirming participants and ensuring
  • Manages single or multiple medium-scale projects leveraging PM best practices and according to predefined project guidelines with minimal supervision, which may include sourcing and establishing contracts, identifying key players, establishing project guidelines and owner accountability
  • Plans, manages, and reports on assigned projects with some assistance from leadership.
  • Completes multiple project related tasks simultaneously and with minimal supervision, with a focus on completing projects effectively and in a timely manner according to budget and guidelines.
  • Develops strong relationships across the HR team, working collaboratively to form effective, team-based approaches to achieving deliverables while maintaining effective communication, including status updates and reports.
  • Handles a broad range of routine and/or confidential human resource related matters and inquiries, including, but not limited to employee files and records requests, compliance, compensation and a variety of human resources programs.
  • Plays a lead role in HR culture and engagement and arranges activities around this initiative.
  • Develops communication plans, assists and/or writes communications and distributes accordingly as needed.
    • Assists with documenting and developing human resources departmental and employee related policies, procedures and best practices in collaboration with the HRLT.
    • Onsite support is required when the Executive team or HRLT has scheduled in-office meetings or visitors at our Jacksonville campus. Requirements include ensuring campus and building access is secured, temporary badges available, office or meeting space established, IT support, as well as food and beverage needs.
    • Participates in special projects and performs other duties as assigned.

About you

MINIMUM EDUCATION & EXPERIENCE REQUIREMENTS:

Associate’s degree with a minimum of seven (7) years of related work experience; or equivalent combination of post high school education and experience.

Bachelor’s Degree in Human Resources management, PHR or HRPM certification preferred.

KNOWLEDGE, SKILLS & ABILITIES REQUIREMENTS:

  • Ability to communicate effectively verbally and in writing.
  • Ability to effectively manage projects that vary in nature and complexity.
  • Intermediate proficiency with Microsoft Word, Excel, PowerPoint and Outlook.
  • Ability to learn new computer systems and software packages with ease.
  • Ability to maintain high degree of confidentiality and handle highly sensitive information.

Ability to prioritize, organize and perform multiple work assignments simultaneously while meeting assigned deadlines
