Supplier Operations Specialist
Apply for RoleThe Supplier Operations Specialist is responsible for supplier facing activities which include but are not limited to managing the central mail boxes, supplier on/off boarding for existing client portfolios globally, supplier contractual projects globally for existing client portfolios, vetting of all supplier onboarding documents specific to the client, country and MSP service for net new and existing programs, uploading all compliant supplier onboarding documentation to the central database, ensuring each document which expires is kept up to date and continues to meet compliance, to audit suppliers to ensure they have met background screening requirements and present findings.
Engaging with the applicable back-office support teams to ensure the suppliers engagement status is reflected in back-office systems. Resolving all queries associated and not limited to vendor kick outs. Ensuring the central database is up to date, which includes and is not limited to supplier records accurately reflecting the supplier's partnership and audit results at all times. Auditing every Supplier after implementation to ensure all onboarding compliance documents have been uploaded to the central database and the database accurately reflects the supplier engagement. Tracking supplier variations by client, country, MSP Service and supplier contract. Offering guidance on best practice and highlighting lessons learned from any supplier engagement globally for new and existing client portfolios. Reporting at the agreed cadence to each program team their supplier’s non-compliance, tracking trends and escalating recurrences. Supporting with the distribution of communication relating to supplier events and supporting the Supplier Partnership team with administrative tasks.
What you’ll be doingSupplier Operations and Communications
- Accountable for managing the Supplier Operations central mailbox, acknowledging emails within the same day of receipt, responding to requestor within 24 hours of receipt
- Scopes the on/off boarding requirements specific to the client, country and MSP Service prior to seeking approval to initiate the contractual project to existing client portfolios
- Tracks and provides accurate supplier engagement updates to the requestor and Supplier Operations Lead
- Accountable for creating, updating and ongoing maintenance of all supplier records in the central database including and not limited to existing suppliers, new suppliers via BAU projects and suppliers via new client implementations
- Front line in resolving supplier contractual issues which have risen via Supplier Operations engagements before escalating to the applicable party
- Creates Supplier Compliance Audit presentations, documents compliance reports and provides updates regarding BAU supplier contractual projects
- Documents issues and maintain formal tracking process for all assigned tasks
- In conjunction with Pontoon MSP Teams and Supplier Partnership representatives, develops action plans to resolve supplier engagement, documents compliance and supplier audit compliance issues.
- Participates in special projects and performs other duties as assigned
- Able to step into the role of the Supplier Operations Advisor and/or Compliance Advisor at any given time and execute deliverables to 100% accuracy
- Highlight risks to Team Leader and/or Head of Supplier Partnership
- Adheres to the SLA’s aligned to BAU and new client supplier engagements and supplier compliance audits
Contracts and Compliance Document Administration
- To vet all supplier on/off boarding documents with 100% accuracy
- To vet supplier compliance audit documents with 100% accuracy
- Accountable for the reviewing and outlining compliance statuses of all onboarding documents associated with existing suppliers, new suppliers via BAU contractual projects and new client implementations
- Verify supplier on/off boarding documentations meet the compliance requirements as per the process checklists specific to the client, country and MSP Service
- To ensure suppliers are continuously meeting client, country and MSP Service specific compliance requirements for the duration of their services via Pontoon
- To ensure the applicable client, country and MSP Service specific on/off boarding documents are sent to the supplier
- To lead on BAU projects (supplier contractual projects to existing client portfolios)
- Assists in the coordination of Supplier Management document reviews with other departments (e.g. Legal, Compliance and Audit
- Responsible for maintaining accurate supplier records in the central data base
EDUCATIONANDEXPERIENCEREQUIREMENTS:
- Bachelor's degree in related field or equivalent experience.
- One (2) to three (3) years' work experience. MSP experience preferred.
KNOWLEDGE,SKILLS&ABILITIES:
- Excellent attention to detail
- Skilled in communicating effectively verbally and in writing
- Ability to establish and maintain effective working relationships
- Ability to interact and communicate detailed information and requirements suppliers, with all levels of staff and management
- Experience using web-based systems preferred but not required
- Ability to work well in a team, maintain a sense of urgency and continuously strive to improve processes to drive efficiency
- Ability to maintain 100% accurate documentation
- Ability to adapt and respond positively to a varied and changing workload
- Ability to define steps required for completion of deliverables
- Ability to produce results in an ever-changing environment
- Proficient with Microsoft Office products, including Word, Excel, PowerPoint and Outlook
