The Senior Target Fulfillment Coordinator is responsible for overseeing and optimising the allocation, management, and delivery of Aviation Testing at RAAF Base East Sale for all aviation candidates required to undertake MACTS testing within ADF Careers. This senior role ensures alignment with strategic goals by supporting target achievement through effective collaboration, clear communication, and robust analysis. It plays a critical role in ensuring that service needs are comprehensively understood and appropriately addressed across the national ADF Careers workforce, driving consistent and efficient target fulfillment outcomes.

Job Description

This role is essentially about making sure the right aviation candidates are booked in, tested, and progressed smoothly through the ADF recruitment process. You’ll oversee scheduling, data management, reporting, and communication between different teams to keep everything running on time and on target. It’s a coordination and problem-solving job where you work closely with Defence and recruitment staff, help streamline processes and ensure everyone has the information they need.

You will:

  • Work under limited supervision using a high level of initiative to resolve issues, deliver practical solutions
  • Routinely prioritise competing demands in order to meet business and performance timeframes.
  • Drive administrative and operational excellence, overseeing tasks associated with workforce delivery, while streamlining processes to enhance coordination efficiency.
  • Assist in the preparation of reports, presentations, and internal communications with accuracy and attention to detail
  • Maintain secure filing systems, manage records, and ensure effective document control
  • Liaise confidently and professionally with internal and external stakeholders
  • Contribute to the development and implementation of improved administrative processes.
  • Preparing client correspondence, documentation and travel.
  • Maintain a high level of discretion and confidentiality,
  • Good organisational, analytical, and problem-solving skills, with the ability to manage competing demands, meet deadlines, and drive improvements.
  • Updating workforce data spreadsheets, ensuring timeliness accurate delivery
  • Inbox Management: Monitor and respond to incoming emails, allocate tasks, and ensure timely follow-up.
  • Develop and maintain a comprehensive understanding of the services' priorities and wider Recruiting Operations goals, enabling impactful contributions to target achievement for ADF Careers at a senior level.
  • Represent the Target Fulfillment function at weekly, monthly, and quarterly target and enlistment delivery meetings, presenting data-driven insights, progress updates, and strategies for issue resolution and future planning.
  • Advise and support stakeholders in the Recruitment and Events Delivery team on Aviation Testing availability, providing innovative solutions to maximise opportunities and ensure optimal target fulfillment with high-quality candidates.
  • Create and maintain a positive relationship with all stakeholders and colleagues, ensuring an exceptional level of service to the client (Commonwealth of Australia) to ensure a collaborative approach to achievement for ADF Careers.

Your background will demonstrate:

  • Strong administrative skills, with demonstrated experience in meeting coordination, document control, and preparing and editing professional presentations.
  • Exceptional communication and relationship-building skills, with a proven ability to influence and collaborate effectively with senior external stakeholders and internal leaders.
  • Exceptional written and verbal communication skills, with the ability to build positive relationships with a wide range of stakeholders both internal and external.
  • Proficiency in Microsoft Office Suites
  • Excellent organisational and time management skills, with the ability to manage a high-volume workload and meet competing deadlines
  • Highly organised & able to effectively manage and prioritise multiple tasks
  • Extensive experience and advanced knowledge of end-to-end recruitment processes, including strategic onboarding, workforce planning, and complex administrative operations.
  • Strong leadership in organisational and time management, demonstrating the ability to oversee multiple priorities, delegate effectively, and meet critical deadlines in high-pressure environments.
  • Process-driven mindset with a strategic, solution-focused approach, ensuring efficiency and alignment with business objectives while delivering superior customer service outcomes.
  • Advanced stakeholder management capabilities, enabling seamless communication and coordination across a nationally dispersed, multi-functional team.
